Day-of coordinator

Our coordinator
Every Haven Hills wedding needs a day-of coordinator. Ours confirms the details with your vendors, runs your rehearsal, and on the wedding day lines up the processional, cues the speeches and first dances, and makes sure the barn is set the way you planned.
Your vendors and family go to the coordinator with their questions, not to you. And because our coordinator works at Haven Hills, they already know the barn, the grounds, the rain plan and our staff.
Who does what
Couples mix these up all the time. A planner builds the plan with you, your Wedding Day Coordinator takes care of the flow of your celebration and you, and your Venue Host takes care of the property.
Hired 9–18 months ahead · about $3,000–$15,000
Required at Haven Hills · ours is $650
Our on-site team, there all day
A planner typically costs $3,000 to $15,000. Our coordinator is $650, rehearsal included.
Good to know
Your wedding day should be spent making memories, not managing details.
Yes. Every wedding at Haven Hills needs a Wedding Day Coordinator (also called a day-of coordinator). You can hire your own experienced coordinator or book ours for $650.
$650, and that includes running your 60-minute on-site rehearsal. A full-service wedding planner typically costs $3,000 to $15,000.
Your Wedding Day Coordinator is the person who brings all your carefully planned details together! Haven Hills Estate will work directly with you to curate a well-thought-out, detailed wedding day timeline. This will be distributed to all vendors so that each vendor operates from the same timeline. From creating and managing your wedding timeline and communicating with vendors to organizing your ceremony and overseeing the flow of your reception, your coordinator works behind the scenes to ensure everything runs smoothly. We will be present at your rehearsal to fully take charge and run that too!
Our goal is simple: you enjoy every moment while we handle the details!
This is one of the most important distinctions!
Your Venue Host focuses on the venue itself: ensuring the property is ready, assisting with venue-related needs, monitoring the facility, and overseeing venue operations. Your Venue Host will greet vendors and help guide them to their designated areas, clean up spills on the dance floor, keep trash cans emptied, keep soap and paper towels stocked in the bathrooms, and overall ensure the hospitality of the venue is up to par.
Your Wedding Day Coordinator focuses on YOU and your wedding! They manage your timeline, communicate with vendors, organize the wedding party, cue important moments, and help ensure your vision comes to life. The Wedding Day Coordinator works tirelessly behind the scenes to make sure your day runs effortlessly and without hiccups.
While your Venue Host takes care of the property, your Wedding Day Coordinator takes care of the flow of your celebration and YOU.
A wedding planner manages design and logistics from start to finish: the design plan, booking every vendor, and help with the guest list, registry and website. Planners are usually hired 9 to 18 months ahead and cost $3,000 to $15,000. A Wedding Day Coordinator takes the plans you've already made and puts them into action on the day.
Absolutely! In fact, that's exactly when a Wedding Day Coordinator becomes so valuable.
You've spent months making decisions, choosing vendors, and planning every detail. But who is going to make sure everything happens the way you envisioned on the actual wedding day?
Your coordinator takes the details you've created and puts them into action, allowing you, your family, and your wedding party to be fully present instead of managing logistics. Through years of experience, your Wedding Day Coordinator also designs your timeline to include all the things important to you in a flow that works with the venue and the timing of your day.
We honor an open vendor policy at Haven Hills Estate, so yes, you can hire your own Wedding Day Coordinator. However, we highly recommend someone who is experienced in wedding day coordination (not just someone who is overly organized). Our in-house coordinators are well experienced with our venue, the best flow, the timing and everything that goes into a smooth-running day!
Wedding Day Coordination is different from full-service wedding planning.
Your coordinator becomes involved during the final stages of planning to review your wedding details, confirm logistics, and help finalize your wedding day timeline. Your final venue walkthrough will be scheduled about 30 days before the wedding. You will meet your coordinator at the final walkthrough and have a chance to ask any last-minute questions.
By the time your wedding arrives, your coordinator will be familiar with your plans, vendors, and expectations.
Our Events & Logistics Manager will meet with you for your planning sessions at Haven Hills Estate. During your 2nd planning session (about 90 to 120 days before the wedding), she will go through some very important pieces of your wedding day and collect lots of details that are relevant to building out your wedding day timeline. You will work with her back and forth until the timeline is just the way you like it. One of the most important responsibilities of our wedding day coordination service is helping develop a detailed wedding day timeline and ensuring it is followed.
And because weddings don't always run exactly on schedule, your coordinator helps make adjustments when needed!
Yes! Your coordinator serves as a primary point of contact for your vendors on your wedding day.
They help direct vendors, answer logistical questions, communicate timing, and ensure everyone understands the schedule.
This means your photographer, DJ, caterer, florist, and other vendors have someone to turn to instead of interrupting you or your family.
Yes! Your coordinator helps ensure your ceremony is organized and runs smoothly.
This may include lining up the wedding party, communicating with your officiant and musicians or DJ, cueing the processional, and helping everyone know when and where they need to be.
Your only job? Enjoy the moment!
Yes! This is always included in our wedding day coordination package.
Your coordinator helps organize the wedding party, explain the ceremony processional and recessional, and practice the ceremony so everyone feels confident and prepared.
Your coordinator may assist with placing pre-arranged personal décor items according to your approved setup plan, depending on your package.
However, Wedding Day Coordination is not the same as full-service event design or professional decorating. Large installations, extensive decorating, furniture moving, floral design, and other specialized setup services may require additional assistance or outside vendors. If you'd like our team to handle the look, Package 2 includes full design and decoration.
Yes! Your coordinator helps keep everyone informed and organized throughout the day.
Whether it's gathering the wedding party for the ceremony, making sure parents know where to be, or communicating important timing changes, your coordinator helps eliminate confusion and unnecessary stress.
That's one of the biggest benefits of having a coordinator!
Weddings involve many moving pieces, and unexpected situations can happen. Whether a vendor is running late, the timeline needs adjusting, or weather requires a change of plans, your coordinator helps troubleshoot and communicate solutions.
While no one can guarantee a completely problem-free day, having an experienced professional managing the details can make all the difference.
Yes! Your coordinator works closely with your DJ, caterer, photographer, and other vendors to help keep your reception on schedule.
From introductions and dinner service to speeches, cake cutting, special dances, and other important moments, your coordinator helps everyone stay informed and prepared.
Your coordinator helps oversee the conclusion of your celebration and communicate end-of-event responsibilities.
However, personal décor removal, packing belongings, loading vehicles, vendor equipment breakdown, and extensive cleanup are not solely the responsibility of the Wedding Day Coordinator. They will absolutely help and serve as an extra set of hands for this piece of the day.
These responsibilities should be arranged in advance according to venue policies.
Your wedding day should be a celebration for your loved ones, too!
When you ask your mom, sister, bridesmaid, or close friend to manage the wedding, you're also asking them to work during an event they should be enjoying.
A professional coordinator brings experience, organization, and a dedicated focus to managing the day so the people closest to you can simply celebrate alongside you.
Peace of mind.
You've invested so much time, energy, and money into creating your dream wedding. Having someone dedicated to executing those plans means you can step away from the responsibilities and truly enjoy the experience.
You deserve to be the bride, not the person answering vendor questions, watching the clock, or directing the wedding party.
Tell us when you book your date, or ask about it on your tour, and we'll add it to your booking.
You make the memories. We'll help manage the moments.
